The agreement
These terms are between you and SoccerTrainerHQ LLC, a California limited liability company (“SoccerTrainerHQ”, “we”, “us”). They apply when you use soccertrainerhq.com, any trainer site we host, or any custom domain pointed at us — whether you book, sign in, or just read. Using the site means you accept them.
Two documents sit alongside this one and form part of the same agreement: the privacy policy and the liability waiver you accept at checkout.
There is a second agreement you also make, and it is not with us. When you book, you enter into an agreement with the trainer for the coaching itself. Their own rules — what to bring, how they run a wet-weather day, how they handle a late arrival — are theirs, and they sit on top of these terms.
What we are, and are not
We provide booking software and take the payment. The trainer provides the coaching.
What SoccerTrainerHQ actually does:
- Hosts a website for each trainer, showing their real availability.
- Takes bookings and stops two families buying the same last place.
- Collects payment through Stripe and passes the trainer’s share to them.
- Sends confirmations, reminders, and notices when plans change.
- Issues refunds when a booking is cancelled within the rules.
What we do not do:
- Coach. We employ no trainers. We are not present at any session and have no control over how one is run.
- Supervise. We do not set curriculum, safety practices, ratios, or conduct standards, and we do not monitor sessions.
- Vet. See section 09, which is the section to read if you read only one.
- Guarantee anything about a trainer — their skill, their qualifications, their insurance, their character, or whether they turn up.
Trainers are independent contractors. Nothing here creates an employment, agency, partnership or joint-venture relationship between us and any trainer, and no trainer can bind us to anything.
Who may use this
- You must be 18 or over to book or to hold an account.
- You must be the athlete’s parent or legal guardian, or have their authority to book and to provide the athlete’s information. By booking, you are stating that this is true.
- Athletes do not have accounts and are not users of this platform.
- Trainers join by signing up on this site, or by claiming a site we built for them through a one-time link. Either way, a trainer account means agreeing to these terms — including the Terms for trainers — at signup.
Booking a session
You do not need an account. Pick a time on your trainer’s site, fill in one form, and pay. A booking is confirmed when the payment succeeds — not when you pick a time.
- Your seat is held while you pay and released automatically if the payment is not completed in time. If your seat has been released, nothing has been charged.
- Availability is live. A session that is full says full. Occasionally two people reach the last place at the same moment; the second payment fails or is refunded in full.
- Age ranges are guidance, not a gate. If a session is marked for a birth-year range and your athlete is outside it, you are warned and may still book — coaches routinely make exceptions for a strong younger player or a sibling. Whether it is the right session is a conversation to have with your trainer.
- Group sessions may have a minimum. If too few players sign up, a trainer may cancel; you are refunded in full.
- The field may be listed as “to be confirmed.” If it is, you are told the location by email once it is set, and section 07 applies from that moment.
What you pay
The price on the page is the price you pay. Nothing is added at checkout.
Trainers set what they want to earn from a session, in $5 steps. The price shown to you is that amount plus a fixed platform amount, and the total is always a round number — $45, not $41.87. There is no booking fee, no service fee and no processing surcharge appended at the end, because the number you first saw is the number that gets charged.
Out of the platform portion we pay Stripe’s card processing costs and keep the remainder, which is how the software is paid for. Trainers pay no monthly fee.
Today the payment is processed on SoccerTrainerHQ’s Stripe account and the trainer’s share is transferred to theirs, which is why SOCCERTRAINERHQ appears on your card statement rather than your trainer’s name. Prices are in US dollars.
Cancellations and refunds
Cancel before the deadline and you get every penny back, including the platform’s portion — unless your trainer uses a deposit, in which case the exact amount you get back is shown before you pay and at the moment you cancel.
The rules, exactly as the software applies them
cancel_window_hoursThe standing deadline — 24 hours before the session unless your trainer set a different number- Cancel at any point before it and you are refunded in full, to the card you paid with. The window that applies to your booking is shown on your confirmation.
sold_deposit_retention_pctThe deposit your booking was sold under, if your trainer uses one- It replaces the window: you can cancel any time before the session starts and get back the exact amount shown before you paid — the rest is the trainer’s deposit. A trainer changing the setting later never changes a booking already sold.
free_cancel_untilA reset deadline, granted when the trainer changes the deal- If the trainer moves the time or the field after you booked, you get a fresh deadline for a FULL refund — deposit or not — because you did not agree to this session.
the later of the twoWhich one wins- Always the later. A trainer cannot shorten your window by changing something; changing something can only ever extend it.
- “In full” means in full. When a refund is full — every cancellation by a trainer, and every cancellation inside a free window — the platform’s portion is refunded too. A deposit cancellation refunds the stated amount instead; the booking fee is part of what the deposit policy keeps.
- Refunds go back to the original card, through Stripe. How quickly it appears is your bank’s business, and is typically five to ten days.
- After the deadline, cancellation is between you and your trainer. The self-service button stops working, and whether they refund you, credit you, or hold the slot is their call. Ask them — most are reasonable about illness.
- A no-show is not refunded.
- An unpaid held seat costs nothing. It simply expires.
To cancel: sign in at soccertrainerhq.com/parents with the email address that paid — a booking made as a guest is reachable this way too — or reply to your confirmation email, which goes to your trainer.
If the trainer changes or cancels
Trainers reschedule. Fields get double-booked, floodlights fail, a coach gets sick. When a trainer changes the time or the field after you have booked:
- Everyone booked is emailed, with what changed.
- Your cancellation deadline resets, so you can cancel for a full refund even if the original window has already closed.
- The change is recorded, so there is a record of what was moved and when.
If a trainer cancels a session outright, you are refunded in full. If a trainer stops using SoccerTrainerHQ, any session already booked and paid for is either delivered or refunded — tell us if that does not happen.
Lateness, no-shows and weather
These are your trainer’s calls, not ours. Sessions start and end at the published times; arriving late does not extend one. Weather policy, make-up sessions and what happens if a field is closed are set by the trainer, and the fastest way to know is to ask them before you book.
Athletes must be supervised in line with the trainer’s instructions before and after a session. Unless your trainer has explicitly agreed otherwise, do not assume they are supervising your child outside the session time.
What we do not check
Read this before you book with anyone
SoccerTrainerHQ does not perform background checks on trainers. We do not commission criminal record checks, we do not run sex offender registry searches, we do not confirm SafeSport or coaching certifications with the issuing body, we do not verify insurance, and we do not check references, employment history or qualifications.
A trainer being listed on this platform means they set up an account and connected a bank account for payouts. It means nothing else.
About the badges on a trainer’s page
Some trainer pages display lines such as “Background check on file”, “SafeSport certificate on file” or “Insurance on file”. Read those words literally, because they were chosen carefully:
- They mean a trainer gave us a document and a status was recorded by hand against their account.
- They do not mean we obtained it, authenticated it, confirmed it with the issuing organisation, or that it is current.
- The absence of a badge does not mean a trainer lacks the thing. Most simply have not sent us anything.
What we suggest you do instead
You are choosing a person who will spend time with your child. Ask them directly for their background check, their SafeSport status and proof of insurance, and ask for references from other families. A trainer worth booking will not mind the question. If we ever begin verifying credentials ourselves, this section will say so precisely and it will not be a quiet change.
If something happens that concerns you, tell us at support@soccertrainerhq.com and contact local law enforcement. We can remove a trainer from the platform. We cannot investigate.
Health, medical notes and emergencies
The medical notes field is there so the coach on the field knows about the inhaler, the allergy, or the ankle that is still healing. Write what a coach needs in the moment. It is not a medical record, we are not a healthcare provider, and nobody clinically qualified reviews what you write.
- You are responsible for the accuracy of what you enter, and for keeping it current on future bookings.
- The trainer running the session can see it. Nobody else on the platform can.
- Trainers are not medical professionals. They are not expected to administer medication or provide treatment beyond basic first aid, and neither we nor they promise that anyone at a session holds a first aid qualification.
- In an emergency, a trainer may seek medical care for your athlete and you agree to be responsible for the cost of it. Your emergency contact details are collected for exactly this moment — keep them right.
Youth soccer carries a real risk of injury. That is dealt with in the waiver, which you accept at checkout.
The waiver
Every booking requires you to accept a liability waiver. When you do, we record the name you typed, the moment, the IP address, and which version of the wording you agreed to — so the question “what did this family actually sign?” has one answer, years later.
The current wording is published at soccertrainerhq.com/waiver. When it changes, the version changes and the old text is not edited. The waiver applies to your trainer and to us.
Some trainers also ask you to sign their own paperwork. That is between you and them, and it does not replace this one.
Photos
Photo permission is a separate checkbox from the waiver, it defaults to no, and agreeing to the waiver never agrees to photographs.
If you opt in, you permit your trainer to use images and video of your athlete from their sessions to promote their coaching. You can withdraw it at any time by telling your trainer and emailing privacy@soccertrainerhq.com. Withdrawing stops future use; it cannot recall something already published elsewhere.
Reviews
After a session you paid for has happened, you may post one review of it: a 1–5 star rating and, if you want, a few sentences. Reviews are published immediately, publicly, on the trainer's site and marketplace card, under your first name and last initial. One review per booking, written from the email address that paid for it — that weld is what makes the stars on this platform mean something.
- Write about the training. Do not include your child's full name, anyone's contact details, or threats — a review that does is hidden and the conduct rules in this document apply.
- A review taken down for abuse is hidden, never deleted, and the reason is recorded. Reviews are never removed for being unflattering — a trainer cannot pay, ask, or pressure their way out of honest criticism, and neither can we.
- Your trainer may post one public reply beneath your review. The reply is permanent once posted, cannot be edited, and the same conduct rules apply to it. A trainer can never edit or remove what you wrote.
- You can have your own review hidden at any time by emailing privacy@soccertrainerhq.com from the address you booked with.
Reviews are not a safety check
A five-star rating tells you families liked the coaching. It tells you nothing about whether an adult is safe alone with a child. Reviews do not change one word of the “What we do not check” section above — read it before you book with anyone.
Apparel pre-orders
Some trainers run pre-order windows for kit. These work differently from sessions and the difference matters:
- Pre-orders are not refundable once the window closes and the bulk order is placed with the supplier. This is disclosed on the review screen before you pay, and your acceptance of it — the wording, the timestamp — is recorded with the order.
- Before the window closes, contact your trainer if you need to change or cancel an order.
- There is no shipping. Kit is handed over at training.
- Personalised items — a name or number stitched on — cannot be resold and are not cancellable at all once ordered.
- Sizes, colours and delivery dates are the supplier’s, and a delayed supplier is not a refundable event. Your trainer will tell you where the order stands.
- The trainer is the seller of the goods. They choose the products and set the prices, and the listed price is what you pay. Any sales tax due on kit is currently the trainer’s responsibility out of that price.
An open question we are not going to fudge
Who counts as the retailer for California sales tax on apparel sold this way — the trainer or the platform — is being confirmed with a tax professional before apparel goes live. The paragraph above describes how the system is configured today. If the answer changes it, this page changes with it.
Terms for trainers
This section applies if you have a trainer account.
You are an independent contractor
- You set your own prices, times, locations, session formats and policies. You decide who you coach and how.
- You are not our employee, agent, partner or joint venturer. You get no employment benefits from us, and you may not represent yourself as acting on our behalf.
- You are responsible for your own taxes, licences, permits, field permissions and insurance. We do not withhold tax; Stripe may issue you the tax forms your payouts require.
- You are solely responsible for the coaching and for the safety of the athletes at your sessions.
Getting paid
- Payouts run through Stripe Connect to the bank account you connected. You must complete Stripe’s onboarding and accept the Stripe Connected Account Agreement; payout timing is Stripe’s.
- You set your take-home per session in $5 steps. The parent-facing price is that plus the platform amount described in section 05.
- When a booking is refunded in full, the platform’s portion is refunded too — we do not keep a fee on a session that did not happen. A deposit cancellation is the exception: the family gets the stated amount, you keep your share, and the booking fee is kept.
- Chargebacks and disputes currently land on the platform, because the charge is created on our Stripe account. We may recover from you the amount of a disputed booking that was paid out to you, and we will tell you before we do.
What you owe the families who book you
- Show up, on time, at the field you published, or use the tools to move it and let everyone know.
- Honour the cancellation window you set and the refunds it produces.
- Treat the roster as confidential. The names, phone numbers, emergency contacts and medical notes you can see belong to the families who entrusted them to you. Use them to run your sessions and for nothing else — not a mailing list, not a resale, not a transfer to anyone.
- Respect the photo permission flag. If it is off, do not photograph that athlete for promotion.
- Keep your credentials accurate. Do not describe yourself as background-checked, certified or insured unless you are, and send us current documents if you want a status recorded.
- Follow the law that applies to working with minors where you coach, including any mandatory reporting duties.
Your content
The bio, photos, session descriptions and prices you provide stay yours. You grant us permission to host and display them to run your site, and to show your public page in our own materials. You confirm you have the right to everything you upload — including permission from anyone identifiable in a photo, or their parent.
Acceptable use
Do not:
- Book under a false name, or use someone else’s payment method.
- Attempt to access another family’s bookings or another trainer’s roster, or probe the platform’s access controls.
- Scrape, spider, or bulk-collect data from the site.
- Interfere with the service, its security, or anyone else’s use of it.
- Harass, threaten or abuse a trainer, a family, an athlete, or us.
- Use the platform for anything unlawful.
If you find a security problem, email support@soccertrainerhq.com rather than publishing it. We will not pursue anyone who reports a genuine issue in good faith and gives us a reasonable chance to fix it.
Content and intellectual property
The platform — the software, the design, the SoccerTrainerHQ name and mark — is ours. Using the service does not transfer any of it to you. Trainer content belongs to the trainer, as set out above.
Suspension and termination
You may stop using the service at any time; ask us to close an account and we will, subject to records we have to keep (see the privacy policy).
We may suspend or remove an account — a trainer’s or a parent’s — if these terms are breached, if there is fraud or a payment problem, if there is a credible safety concern, or if we are required to. Where we reasonably can, we will say why and give notice. Sessions already booked and paid for will be delivered or refunded.
Disclaimers
The platform is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that every listing is accurate.
We make no warranty about any trainer: not their skill, qualifications, character, insurance, background, or the safety or quality of any session. See section 09.
Some states do not allow certain warranty exclusions, in which case the exclusions above apply only as far as that state permits.
Limitation of liability
To the fullest extent permitted by law, SoccerTrainerHQ is not liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, lost data or lost opportunity, arising out of your use of the platform.
To the fullest extent permitted by law, our total liability for any claim relating to the platform is limited to the greater of the amount you paid for the booking the claim relates to and one hundred dollars ($100).
We are not liable for injury, loss or damage arising from a training session, from a trainer’s acts or omissions, or from anything that happens at a field. Those risks are addressed in the waiver and are the responsibility of the trainer who ran the session.
Nothing here limits liability that cannot be limited by law, including liability for fraud, or for death or personal injury caused by our own gross negligence or wilful misconduct.
Indemnity
You agree to indemnify and hold harmless SoccerTrainerHQ and the people who run it against claims, losses and reasonable legal costs arising from your use of the platform, your breach of these terms, or — if you are a trainer — from the sessions you run and the way you handle the information families give you.
Governing law and disputes
These terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules. Courts located in California will hear any dispute, and both sides consent to that jurisdiction. The specific county will be named here before launch.
There is no arbitration clause and no class action waiver in this draft. Whether to include them is a decision for the business with its attorney, not something to slip into a document nobody has reviewed. If they are added, it will be a clearly announced change.
Before anything formal, please email support@soccertrainerhq.com. Nearly everything is a refund, a reschedule, or a misunderstanding about a window.
If any part of these terms is unenforceable, the rest continues to apply. Not enforcing something once does not waive it. These terms, with the privacy policy and the waiver, are the whole agreement between us on this subject.
Changes to these terms
When these terms change, the version and date at the top change with them. A change that materially affects bookings you have already made will be emailed to you rather than published quietly. The terms that govern a booking are the ones in force when it was made.
